Dear Software Vendor...I'm Sorry.

Waller B

Have you ever found yourself thinking, “I’m glad I’m not that software vendor—we’re a tough customer to help”? You’re not alone. While it’s easy to focus on what vendors should do better, it’s far less common for contractors to look inward and ask, how are we making this harder than it needs to be?

This session is a follow-up to the popular “Dear Software Vendor” panel, but this time we flip the mirror. We’ll explore how internal dysfunction, poor communication, and a focus on short-term wins—like squeezing the lowest possible price—can backfire and damage long-term success. Because here’s the truth: technology initiatives are more likely to fail when your vendor isn’t financially or strategically set up to succeed.

We’ll talk through the real-world challenges of negotiation—not to “beat down” your vendor, but to co-create value. You’ll walk away with insights on how to ask smarter questions, uncover hidden risks in licensing terms, and develop partnerships that are aligned, transparent, and sustainable.

If you’ve never asked your sales rep a question that made them say, “let me check and get back to you,” you’re probably not asking the right questions. Let’s fix that—and learn how to stop being our own worst enemy when it comes to tech adoption.

Right Sizing VDC for your Project-A Back to Basics Approach

Waller A

Every project holds a unique VDC maximum potential value. Realizing this value requires a tailored approach based on the full range of project parameters. This session will share how McKinstry has leveraged data analytics to define a baseline standard of detailing that is then right sized to deliver maximum project benefit. The approach is simply “A way” focused on returning to the basics of VDC and ensuring every deliverable is enhancing installation and not simply exercising the art of the possible. Integrating the benefits of pre-construction reviews, build planning, pre-fabrication and logistics opportunities, the approach hinges on a deliberate and collaborative framework. The output is a highly defined detailing scope prior to BIM coordination enabling cost, schedule and change management.

Dear Other Departments… What do you Actually Want?

Waller E-F
Too often, technology teams build solutions in a vacuum—only to discover that they don’t align with what other departments actually need. This interactive roundtable is designed for IT professionals, VDC managers, and digital leaders who want to strengthen their collaboration with stakeholders across the company, from finance and the fab shop to project managers and field leaders.
We’ll explore strategies for initiating more productive conversations, asking the right questions, and uncovering the unique priorities and pressures of each department. Panelists will share tips for learning construction workflows you might not have firsthand experience with, and for identifying opportunities where tech can serve as a unifying force rather than a point of friction. Whether you’re trying to roll out a new system, digitize a paper-heavy process, or simply get buy-in, this session will offer practical insights to help you stop guessing—and start building tools people actually want to use.

How DILFO Mechanical Uses PypeServer's Workflow Tools to Improve Fabrication Efficiency

Waller A
DILFO is a second-generation, family-owned mechanical contractor based in Ottawa, Canada. Renowned as one of Eastern Ontario’s largest contractors, DILFO specializes in projects ranging from high-rise multifamily residential developments to institutional and medical facilities. Central to DILFO’s operations is its commitment to prefabrication, leveraging its Virtual Design and Construction (VDC) department to design and produce risers and spools in-house for efficient on-site installation.
Before adopting PypeServer’s workflow software, DILFO sought to modernize its fabrication process by reducing paper use and optimizing material usage. While these efforts yielded some efficiencies, PypeServer’s cloud-based workflow and ability to integrate with Revit, AutoCAD, and other VDC tools made it a more compelling choice. DILFO has been able to automate manual processes and increase the shop’s flexibility, delivering a good return on investment.
This presentation will detail DILFO’s journey from a manual fabrication workflow to the current solution based on PypeServer’s Connect add-ons for Revit, Cloud+ project management tools, and Lyte tool control software. The subject matter should be of interest to small and medium sized organizations that are looking for cost-effective improvements to their fabrication and project tracking processes.

Recruiting in the Upside Down: Navigating the New World of Trades Talent

Waller C
Welcome to the ‘Upside Down’ of construction recruiting where the rules have changed, the workforce is shifting, and what worked yesterday might vanish into the void today.
As seasoned trades professionals retire in waves, MEP contractors face the eerie quiet of unfilled roles presenting the need to reach Gen Z on their turf. In this session, we’ll demystify how to communicate with a new generation of recruits, using the very tools and tech they grew up with without losing the heartbeat of what makes the trades great (and add in a little Stranger Things theme while we’re at it).
Attendees will discover:
• How to hack the code on Gen Z’s values and communication style (think TikTok over toolbox talks) to recruit.
• Leveraging technology from Day 1 of training and bridging generational communication gaps to retain them.
• Preserving old-school wisdom within our intergenerational apprenticeship models.
• Bridging the Demogorgon-sized gap between analog tradition and digital expectation before your talent pool disappears into the Upside Down.
Come prepared for real strategies, inspired by science fiction but rooted in real workforce data. Attendees will leave equipped to lead the charge through the shifting landscape and bring balance back to the trades.

Labor Planning: How to Build a Disciplined, Technology-Enabled Labor Planning Process Into Your Business

Waller A
Why good labor planning matters, what it looks like in the real world and how to create the behavior change required to get good results.
The construction labor landscape has changed dramatically over the last decade. Workforce shortages, rural megaprojects, project delays, material and tariff uncertainty have made it harder to predict the future. Only knowing where your labor will be 6 weeks out is no longer good enough and puts your margins and your business at risk.
Come hear first-hand how fast growing contractors manage this uncertainty while growing profitably with disciplined & technology enabled labor planning systems and processes.

Process Intelligence: Using AI to Map Workflows and SOPs

Waller B
This activity-based workshop introduces trade contractors to a new way of understanding their business—by combining the power of artificial intelligence with a storytelling mindset. Participants will learn how to use AI tools to rapidly capture, document, and organize their company’s core processes and standard operating procedures (SOPs), reducing the burden of manual documentation.
We’ll begin by teaching attendees how to visualize their business like a movie—identifying key “scenes,” roles, tools, and motivations across all departments, from estimating to closeout. This high-level process mapping becomes the foundation for a repeatable structure that can be delegated and scaled.
From there, participants will transition to the procedural level, using simple video recordings of day-to-day work as the raw material. With AI-powered transcription and formatting tools, they’ll see how standard operating procedures can be created quickly and consistently—by focusing on directing the story rather than writing every line.
This hands-on session is designed for trade contractors who want to bring clarity to their operations, empower their teams, and accelerate documentation without getting bogged down in the details.
